Create a contract

Create a contract with the right type, dates, terms, and work order setup.

A contract combines the agreement details and the future work order setup.

Make sure your contract terms already exist before you start.

Open Contracts

Go to Contracts in the left menu.

Start a new contract

Click Add.

Choose the contract type

Choose the type that matches the agreement:

  • Preventive maintenance for recurring work

  • Corrective maintenance for service without recurrence

  • Yearly orders for yearly volume agreements

Use a separate contract for each recurrence.

Add the customer details

Select the Customer linked to the contract.

Also fill in the Invoice customer.

This helps when work falls outside the contract scope.

Fill in the agreement details

Complete the main fields:

  • Contract terms

  • Start date

  • End date

  • Reference

  • Description

  • Days in advance

Reference and Description stay on the contract itself.

They do not appear on generated work orders.

Fill in the work order details

Add the work type and other values the generated work orders should use.

You can also assign forms or linked objects.

Configure the schedule or SLA

For Preventive maintenance, set the recurring schedule.

For Corrective maintenance, select the SLA policy.

Save the contract

Click Save.

OutSmart starts using the contract from the configured start date.

What the main fields do

  • Contract terms control duration and renewal behavior.

  • Start date sets when the contract becomes active.

  • End date stops future generation after that date.

  • Days in advance decides how early the work order is created.

If you change the start date later, review the end date too.

OutSmart can calculate the end date from the selected terms.

Example:

  • deadline on the 15th of each month

  • Days in advance set to 15

  • work order created on the 1st of the month

Frequently asked questions

What is the difference between the start date and the first work order date?

The start date activates the contract.

The first work order date follows the schedule from that point.

Can a contract have multiple recurring entries?

No.

One contract has exactly one recurrence.

Can I leave the employee empty?

Yes.

The work order is then created with a deadline and can be planned later.

Can I edit a contract later?

Yes.

Changes affect future generated work orders.

Existing work orders stay unchanged.
