Import objects from Excel

Import many objects at once when you already have object data outside OutSmart.

Use Excel import when you want to add many objects faster than manual entry.

This is useful during setup, migration, or a first object rollout.

Before you import

Make sure the linked reference data already exists.

Check at least these references first:

• customers
• addresses
• projects
• suppliers

Also check that your object codes are unique.

Prepare the Excel file

Make sure the object data is complete and consistent.

Check fields such as:

• customer reference
• object code
• description
• serial number
• brand, model, and type
• installation and warranty dates

Start with the fields you really need.

You can enrich the objects later.

Prepare the object file

Review the Excel file carefully.

Remove duplicates and fix incomplete rows.

Open the import tool

Go to Settings → Import data.

Choose the object import

Select the import option for objects.

Then upload your Excel file.

Check the mapping and validation

Review how the columns map to the object fields.

Fix any warnings or missing references before you continue.

Run a small test import

Import a small set of rows first.

Check that the objects are created correctly.

Import the full file

Run the full import after the test looks correct.

• avoid changing codes later unless needed

If your file contains values that link to other records, those linked records should already exist in OutSmart.
