Create a quotation scheme

Set the layout, template, reminders, and defaults a quotation should use.

A quotation scheme combines the main settings for sending and following up quotations.

Use schemes when you want different quotation flows per customer type, language, or process.

What a scheme controls

A scheme can control:

  • the PDF layout

  • the quotation layout

  • the email template

  • quotation expiry and reminder timing

  • default attachments and visible fields

Open the quotation settings

Go to Quotes.

Then click the cogwheels in the top right.

Add a new scheme

In the Schemes section, click Add.

Fill in the default settings

Set the scheme name, PDF layout, quotation layout, VAT, currency, and default status.

You can also choose whether the work order PDF should be attached.

Set the quotation behavior

Add the default description, standard materials, work order defaults, email template, and expiry days.

If needed, add default attachments and choose which free fields are shown.

Configure reminders

Click Next step to open the reminder tabs.

Link the reminder templates you want to use.

Turn off automatic reminders when you do not need them.

Save the scheme

Click Save when all tabs are complete.

It is best to use a separate quotation layout per scheme.

That keeps the output easier to manage.

Can I create multiple quotation schemes?

Yes.

Only one can be the default.

Can I use a scheme without reminders?

Yes.

Turn off the automatic reminder options.

How do I get notified when a customer accepts or declines a quotation?

Set this up in Email templates under the accepted and declined quotation templates.

You can add a default CC or BCC there.
