Introduction

There is no separate communication log just for work orders. To check when a work order was sent to a customer, you use the shared Notification log, where every email OutSmart sends out is recorded - including work order emails.

A work order also has its own Logbook, but that shows schedule and status history, not when an email was sent. This article explains both so you know which one to use.

Detailed explanation

To confirm when a work order was sent to a customer, use the Notification log. Every email OutSmart sends out is stored in the Notification log. You can filter it by work-order-related email types to see exactly which work order emails went out and when, along with their status. This is the reliable way to answer "was this work order sent, and when?"

The work order Logbook is a different thing. When the reschedule log is enabled, each work order keeps its own Logbook. If you open a work order and scroll all the way down, you see a [TODO: confirm exact tab/section label] with the work order's history. This Logbook shows schedule changes and status changes - it does not record when an email was sent to the customer. Use it to review what happened to the work order over time, not to confirm a send.

Check when a work order was sent (Notification log)

Open Email templates

Go to Settings. Search for Email templates and open it.

Open the notification log

Click Show notification log in the top right.

Open the filters

Click Filter in the top right.

Select work order email types

Choose the work-order-related email types you want to see [TODO: confirm exact email type names as shown in this filter]. This is a multiple-select field, so you can select all work order mailings at once.

Review the results

Check the matching emails, the date/time they were sent, and their status.

Open the work order

Go to Work Orders and open the work order.

Scroll to the bottom

Scroll all the way down in the work order.

Open the Logbook

You will see the status changes there, and you can click Logbook to view the full schedule and status history. Note: this shows schedule and status changes, not email send times.

Frequently asked questions

Is there a way to check when a work order was sent to a customer?

Yes. Open the **Notification log** (Settings > Templates > Email templates > Show notification log), click **Filter**, and select the work-order-related email types. You will see each work order email with the date and time it was sent and its status.

Does the work order Logbook show when the work order was sent?

No. The Logbook (reschedule log) shows schedule changes and status changes for the work order. To confirm when an email was sent to the customer, use the Notification log.

Is there a separate communication log page just for work orders?

No. Work orders use the shared Notification log, the same as invoices and quotations.
