Configure AccountView imports

Choose which data OutSmart imports from AccountView and how each import behaves.

Use the import settings to decide which data AccountView sends into OutSmart.

The sync runs automatically in the background.

You can also start a manual import from each import section.

How import works

  • OutSmart imports records updated since the last sync date.

  • Blocked records are not imported.

  • Each import section has its own manual Import action.

What you can import

Employees

Import employees from AccountView into OutSmart.

Articles

Import articles from AccountView as materials.

You can also turn on Import article groups.

This creates matching product categories in OutSmart.

Hour types

Import hour types from AccountView.

AccountView stores hour types as articles in the Uursoorten article group.

Only articles from that group import as hour types.

Projects

Import projects from AccountView into OutSmart.

Debtors

Import debtors from AccountView into the OutSmart CRM as customers.

Quotes

Import selected quotes from AccountView as work orders.

A quote imports only when its internal notes contain WBA.

After import, AccountView marks the quote as Sent to OutSmart.

Sales orders

Import selected sales orders from AccountView as work orders.

Use the keyword filter to decide which sales orders qualify.

You can check these fields:

  • External note

  • Internal note

  • Order status

Only sales orders where the chosen field contains your keyword are imported.

Open the AccountView settings

Go to Settings → General → Software integrations.

Open AccountView.

Choose an import section

Open the section you want to configure.

For example, Debtors, Articles, or Sales orders.

Turn on the import

Enable the import toggle for that section.

This turns on automatic synchronisation for that data type.

Configure section-specific options

Turn on Import article groups if you want article groups as categories.

For Sales orders, choose the filter field and enter the keyword.

Save the setup

Click Save.

Run a manual import when needed

Click Import next to the relevant section.

This imports matching data immediately.

Before you run a manual import

Check these points first:

  • blocked records in AccountView are skipped

  • only changed records import automatically

  • older records may need a changed sync date

  • quotes need WBA in the internal notes

  • sales orders need the correct keyword filter

Frequently asked questions

How often does the automatic import run?

The integration imports automatically at regular intervals.

You can also start a manual import from the settings page.

Why are some records not imported?

Blocked records are skipped.

OutSmart also imports only records changed since the last sync date.

Adjust the sync date if you need to retrieve older records again.

How does OutSmart know which articles are hour types?

Hour types are articles in the Uursoorten article group.

Only that group imports as hour types.

How does quote import work?

A quote imports only when the internal notes contain WBA.

After import, AccountView marks it as Sent to OutSmart so it does not import again.

What does the sales order keyword filter do?

It limits which sales orders OutSmart imports.

Choose the field to check and enter the keyword value.

Only matching sales orders import as work orders.
