Configure Bouwsoft exports

Choose how OutSmart exports completed work orders, invoices, and actual costs to Bouwsoft.

Use the export settings to decide how OutSmart sends completed work to Bouwsoft.

The available export flows are Assignments, Sales invoices, and Actual costs.

Export formats

Assignments

Export completed work orders to Bouwsoft as assignments.

This is the standard export flow.

You can configure:

• work order status for materials and hours
• work order status for materials only
• work order status for hours only
• title with tag support
• customer note with tag support
• address as delivery or invoice address
• warehouse deduction from a selected Bouwsoft warehouse
• create new materials when a code does not exist yet
• use material prices from OutSmart instead of Bouwsoft prices

Sales invoices

Export completed work orders to Bouwsoft as sales invoices.

You can configure:

• work order status for materials and hours
• work order status for materials only
• work order status for hours only
• title with tag support
• customer note with tag support
• address as delivery or invoice address

Actual costs

Post worked hours and materials from a completed work order as actual costs on a Bouwsoft project.

Use this when the work order is linked to a Bouwsoft project.

You can also export work order forms as PDF attachments.

Attach them to the customer relation, the project, or both.

Open the Bouwsoft settings

Go to Settings → General → Software integrations.

Open Bouwsoft.

Choose the export flow

Turn on Assignments, Sales invoices, or Actual costs.

You can use the flow that fits your Bouwsoft process.

Set the work order status filters

Choose which work order status makes the export eligible.

Also decide whether Bouwsoft should receive materials, hours, or both.

Fill in the export options

Set the title, customer note, address, and any extra options.

For assignments, also review warehouse deduction, material creation, and price source.

Save the settings

Click Save.

The selected export flow is then active.

Run an export if needed

Click Export to send all eligible work orders right away.

Important to know

• Status filters decide which work orders can export.
• Tags can build titles and notes dynamically.
• Actual costs need a work order linked to a Bouwsoft project.
• Missing materials can block export unless automatic material creation is active.

What is the difference between an assignment and a sales invoice?

An assignment is a work record in Bouwsoft.

A sales invoice is a billing document.

Choose the export that matches your workflow in Bouwsoft.

What is actual costs export?

It posts used materials and worked hours to the linked Bouwsoft project.

This creates project cost entries in Bouwsoft.

What happens when a material does not exist in Bouwsoft?

The export can fail.

Turn on Create new materials if OutSmart should create the missing material automatically.

Can I change the title in Bouwsoft?

Yes.

Use the Title field.

You can also add tags such as the work order number or customer name.

What does warehouse deduction do?

It deducts exported materials from the selected Bouwsoft warehouse.

This helps keep stock levels up to date.
