Configure EasyBill exports

Choose how OutSmart exports completed work orders to EasyBill and what extra data to include.

Use the export settings to decide how OutSmart sends work orders to EasyBill.

The most common flow exports completed work orders as invoices.

Work order export modes

Each work order has an export mode.

This decides what the export includes.

Export hours and materials

Export both worked hours and used materials.

Export materials only

Export only materials.

Export hours only

Export only worked hours.

Do not export

Skip the work order completely.

Main export settings

Order reference

Use tags to build the invoice reference text.

This can include values like work order number or date.

Export relations

Turn on Export relations to create missing customers in EasyBill.

Materials

For materials, you can:

filter by product group
set a universal material as fallback
choose the price from OutSmart or EasyBill
build the exported line text with tags

Hour types

For hour types, you can:

filter by group
choose the price from OutSmart or EasyBill
apply OutSmart price agreements
build the exported line text with tags

Hour rounding

You can round worked hours to:

no rounding
5 minutes
15 minutes
30 minutes

Document upload

Turn on Document upload to attach the work order PDF.

Open the EasyBill settings

Go to Settings → General → Software integrations.

Open EasyBill.

Set the order reference

Open the Orders section.

Fill in the reference field if needed.

Use Tags to insert placeholders.

Choose relation export behavior

Open the Relations section.

Turn on Export relations if needed.

Configure materials

Open the Materials section.

Set the fallback item, price source, and line text.

Configure hour types

Open the Hour types section.

Set rounding, price source, and line text.

Enable PDF upload if needed

Open the Basic section.

Turn on Document upload if you want attachments.

Save the settings

Click Save.

The export flow is then active.

Run an export if needed

Click Export workorders.

This sends all eligible work orders right away.

Important to know

A missing customer can block export when Export relations is off.
Missing product matches can use the universal material fallback.
Failed exports set the work order to Transfer error.

What happens if a customer does not exist in EasyBill?

The export can fail.
