Troubleshoot EasyBill

Review the log and fix common EasyBill connection, import, and export errors.

Use the log in the EasyBill settings to review imports, exports, and errors.

Each log entry shows when the sync ran and what happened.

Open the EasyBill settings

Go to Settings → General → Software integrations.

Open EasyBill.

Open the log

Review the log panel on the right side.

Then open the latest warning or error entry.

Read the full message

Use the full error details to find the exact cause.

Check which record or setting is involved.

Fix the cause and retry

After you correct the issue, run Export workorders or the relevant Sync action again.

Quick checks first

Check these points before you go deeper:

  • the API key is still valid

  • the selected plan matches your EasyBill subscription

  • the customer exists in EasyBill or can be exported

  • matching materials and hour types exist in EasyBill

  • the previous sync is not still running

Common error messages

API key is invalid

The API key is wrong or no longer valid.

Copy the key again from Profile and Settings → API Key.

Then reconnect EasyBill.

Wrong plan selected

The selected plan does not match your EasyBill subscription.

Choose the correct plan in Connection.

Then save the settings.

Customer not found in EasyBill

The customer on the work order does not exist in EasyBill.

Turn on Export relations or create the customer first.

Material does not exist in EasyBill

A material line does not match a product in EasyBill.

Set a universal material or correct the product code.

Hour type does not exist in EasyBill

A worked hour line does not match an EasyBill item.

Create the missing hour type in EasyBill.

Synchronisation in progress

Another sync is still running.

Wait a moment and try again.

Nothing to import or export

This is not an error.

It means there was no new data to process.

Work orders with transfer errors

A failed export sets the work order to Transfer error.

This is status 99 in OutSmart.

After you fix the cause, export the work order again.

Frequently asked questions

Where do I find the sync log?

Open the EasyBill settings.

The log is visible on the right side.

Use the refresh icon to load the latest entries.

Is “Nothing to import or export” an error?

No.

It means the sync ran, but there was nothing new.

What should I do if the API key stopped working?

Disconnect EasyBill.

Then connect again with a fresh API key.

How do I fix a work order with Transfer error?

Check the log for the exact cause.

Fix the issue.

Then click Export workorders.
