Troubleshoot Exact Online

Review the log and fix common Exact Online sync and export errors.

Use the log in the Exact Online settings to review imports, exports, and errors.

Each log entry shows when the sync ran and what happened.

Open the Exact Online settings

Go to Settings → General → Software integrations.

Open Exact Online.

Open the log

Review the log panel on the right side.

Then open the latest warning or error entry.

Read the full message

Use the full error details to find the exact cause.

Check which record or setting is involved.

Fix the cause and retry

After you correct the issue, run Export or the relevant Sync action again.

Quick checks first

Check these points before you go deeper:

  • the connection is still active

  • the correct administration is selected

  • the customer and item codes still match Exact Online

  • the VAT and fallback settings are filled in

  • the work order or invoice is ready for export

Common error messages

Customer not found in Exact Online

The customer on the work order does not exist in Exact Online.

Turn on Export relations or create the customer in Exact Online first.

Material has no valid code

A material line does not match an item code in Exact Online.

Set a fallback material or correct the item code.

No VAT code set for material or hour type

The exported line has no valid VAT setup.

Check the VAT settings in Exact Online and in the export configuration.

Invoice must be sent to the customer

The invoice is not final yet.

Send or finalize the invoice in OutSmart before exporting it.

No materials or hour types found on invoice

The invoice has no exportable lines.

Add at least one material or hour line before exporting.

Permission denied

The connected Exact Online user does not have enough rights.

Reconnect with a user that has the required permissions.

Work order is being synced already

Another sync is still running.

Wait a moment and try again.

Attachment size too large

The work order attachments are too large for upload.

Reduce the file size and export again.

Frequently asked questions

Where do I find the sync log?

Open the Exact Online settings.

The log is visible on the right side.

Is “Nothing to import” or “Nothing to export” an error?

No.

It means the sync ran, but there was no new data to process.

What should I do when the connection has expired?

Disconnect the integration.

Then connect it again through the Exact Online login page.
