What is Exact Online?

Understand what Exact Online syncs with OutSmart and how Basic and Pro differ.

Exact Online connects OutSmart with your Exact Online administration.

It reduces double entry between field work and accounting.

What you do with Exact Online

  • import customers, materials, and hour types into OutSmart

  • export completed work orders to Exact Online

  • keep customer, item, and financial data aligned between both systems

What syncs between both systems

With Exact Online in OutSmart, you can:

  • import relations into customers

  • import materials into items and products

  • import hour types into labor categories

  • import categories, employees, and payment transactions

  • export completed work orders as sales orders or invoices

With Exact Online Pro, you can also work with:

  • warehouses and price agreements

  • sales orders, shop orders, and goods deliveries

  • quotations, project planning, and assembly orders

Basic and Pro

Exact Online Basic

Use Basic for the core flow.

It covers customer, material, and hour type imports, plus work order export.

Exact Online Pro

Use Pro when you need broader ERP sync.

It adds advanced order, planning, warehouse, and quotation options.

What you need first

Before you start, make sure you have:

  • access to Settings → General → Software integrations

  • an active Exact Online integration license

  • an Exact Online account with the right permissions

  • an administration in the Netherlands, Belgium, Germany, France, or Spain

Important to know

  • The connection uses OAuth through the Exact Online login page.

  • OutSmart does not store your Exact Online password.

  • You connect to one administration at a time.

  • After you save the administration, you cannot change it without reconnecting.

How the process works

  1. Activate the integration.

  2. Connect your Exact Online account.

  3. Choose the administration.

  4. Configure imports and exports.

  5. Save the setup.
