Troubleshoot Gripp

Review the log and fix common Gripp connection, import, and export errors.

Use the log in the Gripp settings to review imports, exports, and errors.

The log panel is on the right side of the settings page.

Open a log entry with the orange error icon to read the full message.

In some cases, OutSmart also adds a note to the work order.

Open the Gripp settings

Go to Settings → General → Software integrations.

Open Gripp.

Check the log panel

Review the latest entries on the right side.

Look for warnings or errors.

Open the error details

Click the entry with the orange error icon.

Use the full message to find the exact cause.

Check the affected work order

Open the work order too.

Check whether OutSmart added a note with more details.

Fix the cause and retry

Run Export workorders or the relevant Import action again.

Quick checks first

Check these points before you go deeper:

  • the API key is still valid

  • your Gripp account still has API calls available

  • the customer is linked to Gripp

  • materials and hour types exist in Gripp

  • product codes are numeric

  • the work order is linked to a Gripp order or project number

Common error messages

Invalid token

The stored API key is wrong or was revoked.

Reconnect the integration with a valid API key.

Maximum number of requests reached, or no request bundle available

Your Gripp account has no API calls left.

Check your available API calls in Gripp.

Upgrade your plan if needed.

Relation not found in relation list

The customer on the work order does not exist in Gripp.

Turn on Relations export.

Or import the customer from Gripp first.

Relation is not linked to a relation in Gripp

The customer exists in OutSmart but has no Gripp ID.

Create or import the customer in Gripp first.

Material not found in Gripp

A material on the work order has no matching product in Gripp.

Turn on Materials export.

Or use materials imported from Gripp.

Hour type has no external ID

An hour type on the work order has no matching product in Gripp.

Turn on Hour types export.

Or use hour types imported from Gripp.

Hour type not known in OutSmart

A used hour type does not exist in OutSmart.

Create the missing hour type in OutSmart first.

Gripp only uses numeric product codes

A material or hour type uses a non-numeric code.

Change the code in OutSmart to a numeric value.

No external work order number known

The work order is not linked to a Gripp order.

Make sure the work order was imported from Gripp.

Or set the correct project number on the work order.

No project number on work order

The work order has no project number.

Set a project imported from Gripp before exporting.

No order found in Gripp with the given project number

The project number does not match an order in Gripp.

Check that the project number matches an existing Gripp order.

What happens after an export error

A work order that fails to export gets the Error status.

After you fix the issue, click Export workorders to retry.

Frequently asked questions

Where do I find the sync log?

Open the Gripp settings page.

The log is visible on the right side.

Click the refresh icon to load the latest entries.

Is “Nothing to import” an error?

No.

It means the sync ran successfully.

There was no new data to process.

My API key stopped working. How do I reconnect?

Disconnect the integration with the power icon.

Then sign in again with a valid API key.

A work order is stuck with Error status. What should I do?

Check the log and the work order notes.

Fix the cause.

Then click Export workorders again.

The integration worked before and then stopped. What should I check first?

Check the log first.

A revoked API key or missing API calls are common causes.
