What is King?
Understand what King syncs with OutSmart, how the connection works, and what to expect from the sync.
King connects OutSmart with your King administration.
It reduces double entry between field work and ERP.
What you do with King
import customers, products, hour types, and orders into OutSmart
export completed work orders to King as orders
update existing King orders or create new ones from OutSmart
What syncs between both systems
With King in OutSmart, you can:
import relations from King debtors into customers
import materials from King articles into the OutSmart catalog
import VAT rates together with materials when you enable that option
import hour types from King rates
import orders from King into OutSmart work orders
export completed work orders back to King as orders
Imported relations can include the main address, delivery addresses, and contact persons.
Rates with a code that starts with *A are imported as materials.
How the connection works
The connection uses a King API token.
You request this token from King and enter it in OutSmart.
OutSmart does not store a password for this integration.
After you connect, choose the administration you want to sync.
How export behaves
If a work order already has a linked King order number, OutSmart updates that order.
It sends the materials, worked hours, and optional text lines.
If the work order has no linked King order number, OutSmart can create a new order.
This works only when Create new order is enabled.
Sync frequency
The sync runs automatically at regular intervals.
You can also start a manual sync from the King settings page.
What you need first
Before you start, make sure you have:
access to Settings → Software integrations
an active King integration license in the License Manager
a King API token
access to the King administration you want to use
Important to know
You can connect one administration at a time.
Import and export run in the background.
You can trigger imports manually with the sync icons.
You can trigger export manually with Export workorders.
Orders import only the records that match your King import filters.
How the process works
Activate the integration.
Request a King API token.
Enter the token in OutSmart.
Choose the administration.
Configure imports and exports.
Save the setup.
