Configure Moloni exports

Choose how OutSmart exports completed work orders to Moloni and Moloni Spain.

Use the export settings to decide how OutSmart sends work orders to Moloni.

This saves you from creating financial documents manually after completing a job.

What you can export

OutSmart exports completed work orders to Moloni as financial documents.

The available export formats depend on the Moloni platform you use.

Moloni

Moloni supports these export formats:

  • Draft Invoice

  • Final Invoice

  • Internal

  • Draft Purchase Order

  • Final Purchase Order

  • Draft Service Sheet

  • Final Service Sheet

  • Invoice Receipt (Draft)

  • Invoice Receipt (Final)

Moloni Spain

Moloni Spain supports these export formats:

  • Draft Invoice

  • Final Invoice

  • Purchase Order

  • Final Purchase Order

Choose the document set

Moloni stores documents in document sets.

In Moloni, this field is called Serie. In Moloni Spain, it is called DocumentSet.

Select the document set that should receive exported work orders.

Set the reference and notes

You can add custom text to the exported document.

Use the Reference and Notes fields to define what appears in Moloni.

These fields support tags. Tags are placeholders that OutSmart replaces with work order data automatically.

Control what gets exported

You can decide whether to export hours, materials, or both.

If you use the extra work order status, OutSmart follows these values:

  • Status 1 — export hours and materials

  • Status 2 — export materials only

  • Status 3 — export hours only

If you do not use the extra work order status, use Extra options instead.

There you can choose:

  • materials only

  • hours only

  • hours and materials

Only export work-ready work orders

You can limit exports to work orders marked as work ready.

If this option is enabled, OutSmart only exports work orders with the Work ready checkbox selected.

Round worked hours

You can round hours before export.

Moloni supports these options:

  • no rounding

  • 5 minutes

  • 15 minutes

  • 30 minutes

Moloni Spain also supports:

  • 60 minutes

Open the integration settings

Go to Settings → Software integrations.

Open Moloni or Moloni Spain.

Choose the export format

Select the document type you want OutSmart to create in Moloni.

Select the document set

Choose the Serie or DocumentSet that should receive exported documents.

Add reference text or notes

Fill in Reference and Notes if needed.

Use Tags to insert placeholders.

Configure export rules

Set the extra work order status, extra options, and work ready requirement.

Set hour rounding

Choose the rounding interval that matches your billing process.

Save and test

Click Save.

To export immediately, click Export workorders.

FAQ

What happens if the customer does not exist in Moloni?

The export fails for that work order.

Make sure the customer exists in Moloni with the same customer number as in OutSmart.

You can also import the customer from Moloni first.

What happens if a product or hour type does not exist in Moloni?

The export fails for that work order.

Make sure the product codes and hour type codes match in both systems.

What does Extra options do?

It decides whether the export includes materials, hours, or both.

Use it when you do not control exports with the extra work order status.

What does Work ready do?

It adds an extra check before export.

Only work orders marked as work ready are exported.

Can I customise the reference shown in Moloni?

Yes.

Use the Reference field and insert tags where needed.
