Configure SnelStart Online exports

Choose how OutSmart exports work orders and related data to SnelStart Online.

Use the export settings to decide how OutSmart sends completed work orders to SnelStart.

You can export to a sales order or directly to a sales booking.

Work order

Export the completed work order as a sales order in SnelStart.

Invoice

Export the completed work order as a sales booking in SnelStart.

Choose what the export includes

  • Materials & Hours

  • Materials only

  • Hours only

You can also export without lines when you use the matching work order status.

Work order statuses created by OutSmart

When you connect for the first time, OutSmart creates these statuses:

  • To SnelStart Online with hours & materials

  • To SnelStart Online without hours

  • To SnelStart Online without materials

  • To SnelStart Online without hours & without materials

  • Create interim order

  • Not to SnelStart Online

These statuses control what the export sends to SnelStart.

Main export settings

Order type

Choose which order type SnelStart should create.

Available values are Quotation, Confirmation, Work order, and Order.

Sales template

Choose the SnelStart sales template for the export.

Order line sequence

Choose the line order on the exported order.

Available sequences are:

  • materials, hours, extra lines

  • hours, materials, extra lines

  • extra lines, materials, hours

  • extra lines, hours, materials

Reference, description, and cost centre

Set the reference text, description, and cost centre with tags.

Tags fill these fields automatically with work order data.

Extra order lines

Add up to four extra lines.

Each extra line can use a prefix and tags.

VAT and merged lines

Choose whether to include VAT on the exported lines.

Turn on merge order lines to combine repeated materials or hour types into one line.

PDF attachments

Upload the work order PDF to the customer in SnelStart.

You can also attach the PDF directly to the sales booking.

Hour settings

Use these settings for exported hours:

  • hour rounding with no rounding, 5 minutes, 15 minutes, or 30 minutes

  • universal hour type as fallback article number

  • use hour type prices from OutSmart

Material settings

Use these settings for exported materials:

  • material type filter to exclude selected material types

  • export materials to create missing materials in SnelStart automatically

  • use material prices from OutSmart

  • order line description with tags

Relation settings

Use these settings for exported customers:

  • export relations to create missing customers automatically

  • export relations (update) to update existing customers during export

Sales booking settings

When you export as a sales booking, you can also configure:

  • import invoice payments

  • export invoice payments

  • cost centre with tags

  • general ledger account with tags

  • sales booking description with tags

  • transaction type mapping for up to seven transaction types

Each transaction type mapping can define:

  • a general ledger account

  • a journal

  • a cost centre

  • a booking endpoint such as bank, cash, or memorial booking

With the SnelStart Online web version, only the Order type works for sales orders.

Other order types and order line discounts require SnelStart 12.

Open the SnelStart settings

Go to Settings → General → Software integrations.

Open SnelStart Online.

Choose the export object

In the general export settings, choose Work order or Invoice.

Choose what to export

Select Materials & Hours, Materials only, or Hours only.

Then make sure your work order statuses match the intended export flow.

Set the order and description fields

Choose the order type, sales template, line sequence, and description fields.

Add tags where needed.

Configure hour and material behavior

Set the rounding, filters, price source, and fallback options.

Also decide whether OutSmart may create missing materials.

Configure relation export behavior

Choose whether OutSmart may create or update customers in SnelStart during export.

Configure sales booking settings if needed

If you export as Invoice, fill in the sales booking fields and transaction mappings.

Save and start the export

Click Save.

Use Export (Out) if you want to export eligible work orders immediately.

Important to know

  • A missing customer can block the export.

  • Turn on Export relations if OutSmart should create missing customers first.

  • The invoice export needs extra financial setup.

  • Tags help you build dynamic descriptions without manual edits.

Frequently asked questions

What is the universal hour type?

It is a fallback SnelStart article number for worked hours.

Use it when a work order hour type has no matching article code in SnelStart.

What is the difference between Work order and Invoice export?

Work order creates a sales order in SnelStart.

Invoice creates a sales booking in the accounting.

The invoice flow needs extra financial mapping.

What does merge order lines mean?

OutSmart combines repeated materials or hour types into one exported line.

This reduces duplicate lines in SnelStart.

What happens when a customer on the work order does not exist in SnelStart?

The export can fail.

Turn on Export relations if OutSmart should create the customer automatically.

Can I use order line discounts?

Yes, but only with SnelStart 12.

The SnelStart Online web version does not support this option.
