What is TOPdesk?
Understand what TOPdesk connects, how data moves, and what to expect from the sync.
TOPdesk connects your TOPdesk environment with OutSmart.
It turns selected TOPdesk calls into OutSmart work orders.
It also updates the linked TOPdesk call after the work is completed.
What you do with TOPdesk
With TOPdesk in OutSmart, you can:
import calls as work orders
import branches as relations and persons as contact persons
import operators as employees
update the linked TOPdesk call when a work order is completed
send hours, a work order PDF, and photos back to TOPdesk
How data moves
Import
OutSmart imports TOPdesk calls as work orders.
It can also import:
branches into relations
persons into contact persons
operators into employees
Export
When a linked work order is completed, OutSmart updates the original call in TOPdesk.
Depending on your export settings, OutSmart can also send:
the new TOPdesk status
registered hours and deadline changes
the work order PDF
work order photos
What you need first
Before you start, make sure you have:
access to Settings → General → Software integrations
access to the License Manager
your TOPdesk operator username
a TOPdesk application password
your TOPdesk domain, such as
yourcompany.topdesk.net
Important to know
The TOPdesk integration must be activated in the License Manager first.
The connection uses a TOPdesk application password.
Your personal TOPdesk password is not stored in OutSmart.
The sync runs automatically every 15 minutes.
You can also start a manual sync from the settings page.
Relations only sync from TOPdesk to OutSmart.
How the process works
Connect OutSmart to TOPdesk.
Choose which calls and records OutSmart should import.
Choose what OutSmart should export back to TOPdesk.
Save the settings.
Let the automatic sync run or start a manual sync.
