Configure WeFact imports

Choose which products, customers, hour types, groups, and quotations OutSmart imports from WeFact.

Use the import settings to choose which data OutSmart pulls from WeFact.

You can also start a manual import per category.

Available import options

Materials

Import products from WeFact into materials in OutSmart.

Only products changed after the sync date are imported.

Customers

Import WeFact customers into relations in OutSmart.

Only customers changed after the sync date are imported.

Choose which email address OutSmart should use:

• the customer email address
• the work order email address
• both

Hour types

Import products from the Uursoorten product group into hour types.

Only products changed after the sync date are imported.

Product groups

Import product groups into categories.

This lets OutSmart organize materials with the same group structure.

Category placement from product groups only updates during a manual product group sync.

It does not update during the automatic sync.

Quotations

Import WeFact quotations into OutSmart as new work orders.

Only quotations with the custom field werkbonapp set to 1 are imported.

A quotation only imports once.

After import, OutSmart marks it in WeFact so it does not import again.

Quotation attachments

Turn on Attachments from quotations if you also want file attachments.

OutSmart adds those files to the imported work order.

Open the WeFact settings

Go to Settings → General → Software integrations.

Open WeFact.

Choose the import options

In Import settings, enable the data you want to import.

Each category can be turned on separately.

Set the extra import options

Choose the Relation email option if you import customers.

Choose whether quotation attachments should also import.

Review the sync date

Check the sync date on the settings page.

Imports only fetch data changed after that date.

Save the settings

Click Save.

The selected imports then run automatically.

Run a manual import if needed

Click the import icon next to a category.

Or click Sync to run all enabled imports right away.

Important to know

• The automatic sync runs every hour.
• Imports only fetch records changed after the current sync date.
• Product group category updates require a manual product group sync.
