# Create and manage mail configurations

A **mail configuration** defines how Mail to WorkOrder processes a matching email.

You can create multiple configurations for different senders, subjects, or request types.

### What a configuration includes

A configuration can contain:

* a name and description
* an active or inactive status
* a matching rule
* customer matching rules
* forced values
* regex rules

### Create a configuration

{% stepper %}
{% step %}

### Open Mail to WorkOrder

Go to **Automations** → **Mail to WorkOrder**.
{% endstep %}

{% step %}

### Open the configurations section

Scroll to the list of configurations.
{% endstep %}

{% step %}

### Add or duplicate a configuration

Create a new configuration or duplicate an existing one.
{% endstep %}

{% step %}

### Fill in the basics

Add a clear name, description, and status.
{% endstep %}

{% step %}

### Add the matching logic

Choose the sender type and the matching value.

Then add customer matching rules.
{% endstep %}

{% step %}

### Add processing rules

Configure forced values, regex rules, or advanced settings.
{% endstep %}

{% step %}

### Save and test

Save the configuration.

Then test it with a real email or WorkOrder Drop.
{% endstep %}
{% endstepper %}

### Best practices

* use clear names per request type
* keep one fallback rule separate from specific rules
* test changes with sample emails before broad use

### Frequently asked questions

<details>

<summary>Can I have multiple active configurations?</summary>

Yes.

Mail to WorkOrder can evaluate multiple active configurations.

</details>

<details>

<summary>What if an email matches more than one configuration?</summary>

The matching order matters.

Keep your specific rules above broad catch-all rules.

</details>

<details>

<summary>Can I duplicate a configuration?</summary>

Yes.

That is often the fastest way to build a similar rule.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://knowledge.out-smart.com/marketplace-packages-and-power-ups/power-ups/mail-to-workorder/create-and-manage-mail-configurations.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
